Online Account service update

New application status dashboard for countersignatories.

We have made improvements to our Disclosure Scotland online account service as part of how we use your feedback to help us develop our services.

When you log into your organisation account a more detailed application tracking status is now available from your countersignatory (CSG) dashboard.

The dashboard shows the application’s status. There are seven application stages that are now displayed.

If you see:

  • With applicant – the applicant has received their application email with the link and must complete their section of the application before Disclosure Scotland can start processing it.
  • Expired – the applicant has not completed their section of the application within the 14 day timeframe. Please restart the application, ensuring the applicant completes their section. 
  • Submitted – the application is now with Disclosure Scotland for processing. Please allow our 14 day Service Level Agreement to pass before contacting us about this application. If we require further information from you to process this, we will be in touch.
  • Terminated – Disclosure Scotland has been unable to complete the application process, please restart the application if required.
  • Result issued – the applicant has their disclosure and has 2 weeks from the date of issue to share the disclosure with you or make an application for review to Disclosure Scotland.
  • Not Viewed – the disclosure has been shared by the applicant and is available for you to view.
  • Viewed – the disclosure has been viewed by a CSG within the organisation and will remain in the dashboard for 14 days from the first date it was viewed.

Viewing disclosures

When we have completed an application, the applicant must give us permission to share their disclosure with you before the status will change to Not Viewed and is available for you to view. They can do this through their own online account. An applicant has 2 weeks from the date of issue to do this.

If the applicant has encountered problems when sharing, please advise them to contact us at response@disclosurescotland.gov.scot . Please ask them to include ‘APPLICATION SHARE REQUEST’ in the subject line alongside their application reference number. This will allow us to identify requests and resolve any issues quickly.

All enquiries must include the applicants name, date of birth, first line of address and reference number to avoid unnecessary delays.

Applicant email address

We have noticed that some applicants use their work email address to create their Disclosure Scotland applicant account using ScotAccount.

Please ask your applicants to use their personal email address if they have one. This should be an email address that only they can access.

Once your applicants provide their personal email address, they can then access email notifications associated with their Disclosure Scotland applicant account more easily. For example, when outside of working hours or when absent from work.  This will allow them to complete an application or when asked to view their disclosure decide whether to share their disclosure or apply for a review.
