Common Disclosure Scotland questions and queries

In June we published an article covering common questions asked by customers and answers to them. This article is a follow up with more information.

I am a Countersignatory (CSG), how should I complete the ‘Position Applied For’ field on an application?

When completing the ‘Position Applied For’ field on applications, CSGs should use wording to indicate where the role is based (or routinely accesses), if it is one of the below locations and whether they have contact with children and protected adults in their role.

For children:

  • educational institution (school or college)
  • hospital
  • nursery
  • day care premises
  • hospice
  • hostel
  • residential care setting
  • secure accommodation for children

For protected adults:

  • hospital
  • hospice
  • care home
  • day care centre
  • adult placement setting

An example entry into the ‘Position Applied For’ field could be:

Facilities Assistant – Schools – contact with children

Or

Administrator – care home – contact with protected adults

Do I need PVG scheme membership if I supervise or manage someone in a regulated role?

Yes. Anyone whose role includes day-to-day supervision or management of someone in a regulated role is required to have PVG scheme membership.

Again, when completing the ‘Position Applied For’ field on applications, CSGs should use wording to indicate the role includes line management of someone carrying out a regulated role.

For example: Area manager – line manages care assistants

How do I know whether to apply for PVG for children, protected adults, or for both groups?

You must only apply for the PVG scheme for the vulnerable groups that you intend to work with in the role you are applying for. If you apply for the incorrect workforce, this may delay the completion of the disclosure.

Why do I need to include additional information into the ‘Position Applied For’ field?

Including this additional information within the Position Applied For field will help ensure that applications are processed without requiring Disclosure Scotland staff to contact the CSG for further information to confirm eligibility, which may delay the completion of the disclosure.

  • please avoid sector specific abbreviations or job codes for roles that our team may be unaware of – full descriptions are more helpful
  • applications for all types of disclosure should be made online. Where you are unable to apply online, the correct email address to submit those is Disclosure-applications@disclosurescotland.gov.scot. You do not need to resubmit applications you’ve sent previously to other email addresses
  • to add a countersignatory for your organisation please email DSAPRegistration@disclosurescotland.gov.scot.

What guidance do you have for applicants and countersignatories?

We have a dedicated webpage for resources to help you. This includes guidance on using your online account and deciding whether your role is a regulated role.
